Privacy Policy
Last updated: May 27, 2026
Digital Ops Systems ("we," "us," or "our") operates the website at digitalopsystems.com and provides smart websites and AI automation systems for growing businesses. This policy explains, in plain English, what information we collect, how we use it, who we share it with, and your rights.
This is a general business privacy policy written to be clear and accurate. It is not legal advice and is not certified by an attorney. We may update it as our services evolve, and we may have it reviewed by legal counsel in the future.
1. Information You Submit to Us
When you fill out a contact form, request a consultation, subscribe to updates, or email us directly, we collect the information you choose to provide. This typically includes:
- Name
- Email address
- Phone number
- Business name and basic business details
- Any message or project information you include
We use this information to respond to your inquiry, schedule consultations, deliver the services you've engaged us for, and follow up with information relevant to our work together.
2. Website Analytics
We use Google Analytics to understand how visitors use our website. This collects standard, mostly anonymous data such as pages visited, time on site, device type, browser, and general geographic location. We use this to improve the site and our services. We do not use analytics to identify individual visitors.
Google's privacy policy: policies.google.com/privacy.
3. Cookies
Our website uses a small number of cookies, primarily for Google Analytics. You can disable cookies in your browser settings at any time. Disabling cookies may affect some website functionality but will not prevent you from contacting us or using the site.
4. Third-Party Integrations (LinkedIn and Others)
We maintain a presence on third-party platforms, including LinkedIn, and we may use those platforms' developer tools and APIs to share content, run our company page, or build features for clients. When you interact with us through LinkedIn or another third-party platform:
- You are subject to that platform's own privacy policy and terms of service in addition to ours.
- We may receive limited profile information that you've made available on that platform (for example, your name, job title, employer, and public profile data).
- We use that information only to communicate with you in a business context, manage our page, or deliver a feature you've explicitly connected.
- If we build an integration that connects your account on a third-party platform to a service we provide, we will only access the data scopes you have specifically authorized, and only for the purpose you have authorized them.
LinkedIn's privacy policy: linkedin.com/legal/privacy-policy.
5. AI Automation and Workflow Data
A core part of our service is building AI-enabled workflows, automations, and operational systems — for our own business and for our clients. This may involve processing data through tools such as language models, transcription services, document generators, and workflow automation platforms.
When this involves information about you:
- We only process data that is necessary to deliver the service you've requested.
- We use reputable vendors and prefer configurations that do not train the vendors' general models on your data.
- We do not feed client data into public AI tools or shared training pipelines.
- For client engagements, the data ownership, retention, and processing terms are spelled out in the engagement agreement and override anything more general in this policy.
6. How We Share Information
We do not sell your personal information. We do not rent it. We do not share it with advertisers.
We share information only in these limited cases:
- Service providers we use to operate our business (email, hosting, analytics, payment processing, scheduling, CRM, automation tooling) — and only the information they need to perform their function.
- Legal requirements: if we are legally required to disclose information by valid legal process.
- Business transitions: if our business is ever sold or merged, the new owner would receive the information under terms at least as protective as this policy.
7. Data Retention
We keep contact form submissions and related communication for up to 2 years, or until you ask us to delete them. For active clients, we retain records for the duration of the engagement and a reasonable period afterward as required for accounting and legal purposes.
8. Security
We use reasonable technical and organizational measures to protect the information we hold — including encrypted connections, access controls, and reputable, well-maintained vendors. No system is perfectly secure, but we treat your information with care and act quickly if we ever identify a problem.
9. Your Rights — Access, Correction, and Deletion
You can ask us at any time to:
- Tell you what personal information we hold about you
- Correct anything that is inaccurate
- Delete your information from our systems
- Stop contacting you
Email contact@digitalopsystems.com with the words "Privacy Request" in the subject line and let us know what you'd like us to do. We'll confirm receipt within a few business days and complete reasonable requests within 30 days.
10. Children
Our website and services are intended for businesses and adults. We do not knowingly collect information from children under 13.
11. Changes to This Policy
If we make material changes to this policy, we'll update the "Last updated" date at the top of this page and, where appropriate, notify you by other means. Continued use of our website or services after a change means you accept the updated policy.
